Warranty Policy

At HVAC Parts & Supply, we stock a variety of HVAC equipment, components, and parts from multiple brands. We do not manufacture any products, and therefore, all warranties default to the manufacturer’s warranty stated on the product packaging.

We may assist in processing warranty claims; however, we reserve the right to charge a processing fee for our time and labor. The policies below outline how warranties are handled for products purchased from us.


1. Manufacturer Warranty Coverage

  • Warranty coverage is determined by the manufacturer’s policies and varies by product.

  • Generally, warranties only cover internal defects that cause a product to malfunction or fail to operate as intended by the manufacturer.

  • Customers and contractors must review the manufacturer’s warranty policy to understand specific coverage details.

What Is NOT Covered by Warranty?

The following situations will typically void the manufacturer’s warranty or are not covered under standard warranty policies:

  • Improper Installation – Any product installed by an unlicensed individual will have its warranty voided. HVAC equipment, parts, and components must be installed by a licensed contractor using properly calibrated tools.

  • External Damage & Misuse – Damage caused by storms, improper electrical setups, physical impact, or transportation mishandling after purchase is not covered.

  • Lack of Maintenance – Equipment must be regularly maintained by a licensed contractor to remain under warranty.


2. Labor Costs & Extended Warranty Options

  • Most manufacturer warranties do NOT cover labor costs.

  • Some manufacturers offer extended warranty plans, which may include labor coverage. Customers should register their products with the manufacturer to explore these options.


3. Who Can Submit a Warranty Claim?

  • Only the licensed contractor who installed the equipment or part may submit a claim.

  • Unlicensed customers must contact their licensed contractor to file a claim on their behalf.


4. Warranty Claim Requirements

Due to manufacturer restrictions, we only process warranty claims for products purchased from our store. The following documentation is required to file a claim:

Contractor Requirements:

  • Copy of HVAC licenses (TDLR & EPA)

  • Government-issued ID (e.g., driver’s license or passport)

Customer & Product Information:

  • Owner’s Full Name & Phone Number

  • Address where the equipment/part was installed

  • Date of installation

  • Product details (Model & Serial Number)

  • Supporting documentation (videos, images, or test results from the licensed contractor demonstrating the defect)

Additional Requirements:

  • The contractor must provide proof of defect or malfunction in accordance with the manufacturer’s warranty policy.

  • In most cases, the defective part must be returned to us before a replacement is issued.


5. How to Submit a Warranty Claim

The licensed contractor may file a warranty claim using one of the following methods:

  • In-Person Submission

    • Bring all required documents and the defective product (if applicable).

  • Online Submission (Faster Processing)


6. Warranty Claim Processing & Replacements

  • Warranty claims may take 1-60 days for manufacturer approval.

  • If the claim is approved, the manufacturer may:

    • Provide a replacement unit, or

    • Allow us to issue a replacement from our inventory (if available).

  • Contractors may purchase a replacement up front, and store credit will be issued to their account once the manufacturer reimburses us.


7. Shipping & Processing Fees

  • The licensed contractor must coordinate with the product owner regarding any shipping and processing fees associated with warranty claims.

  • The contractor is responsible for covering costs related to product return and claim processing.


8. Special Orders & Used/Refurbished Products

  • Special orders are final sale and fall under standard manufacturer warranty policies.

  • Used or refurbished products do NOT include any warranties.


9. Warranty Voiding Factors

Other than standard exclusions, warranties may also be voided if:

  • The product is modified in any way that does not follow manufacturer guidelines.

  • A third party performs unauthorized repairs or alterations.

Customers should consult with a licensed HVAC contractor before making modifications to their equipment.
